Belgium to Launch Fully Digital Work Permit Application System in May 2026

The government of Belgium has announced plans to transition its short-term work permit application process to a fully digital platform beginning May 1, 2026. The move marks a significant administrative shift aimed at improving efficiency in handling foreign worker documentation.
Under the new arrangement, all applications for short-term and commuter work permits must be submitted exclusively through an official online portal. Employers and their authorised representatives will no longer be allowed to send applications via email, a method that has been in use for years.
The updated system will primarily affect non-European Union professionals engaged in temporary assignments such as technical services, training, business visits, and equipment installation. These permits typically cover stays of up to 90 days.
Authorities say the digital transition is designed to reduce processing delays, minimise documentation errors, and enhance tracking of submissions. By centralising the application process, officials expect faster verification and improved accuracy in decision-making.
To comply with the new system, employers are required to register on the government portal and obtain the necessary digital credentials ahead of the deadline. Officials have cautioned that failure to complete registration in advance could result in disruptions or delays once the policy takes effect.
A temporary transition measure has been introduced in the Wallonia region, where email submissions will still be accepted until August 31, 2026. However, no grace period has been confirmed for other regions, including Flanders and the Brussels-Capital Region, where full compliance is expected from May.
The reform is part of Belgium’s broader effort to modernise its immigration and labour systems, in line with a growing trend across Europe toward digital public services.
Once implemented, the policy will effectively end email-based submissions for these permit categories, representing one of the most notable updates to the country’s work permit process in recent years.
